How to Edit a Funnel in Accept Mission

In Accept Mission, a funnel represents the process of managing ideas or projects from the moment they are submitted until they are either implemented or archived. Funnels are the backbone of structured innovation. They allow you to visualize the journey of ideas and projects in stages, assign responsibility, capture important data, and make evidence-based decisions.

How to Open and Access the Funnel Editor

You can access the Idea Funnel in multiple ways, depending on your role and access rights:

  • From the Innovation Studio: Navigate to "Funnels" in the side menu and click on any idea funnel to open its main view.

  • From within an idea: When viewing an idea, click on the linked funnel name to jump to the funnel.

  • Via the search bar: Use the top navigation search to locate a specific funnel by name.

Once inside a funnel, admins can access the edit mode:

  • Click the Edit Funnel button (visible if you have admin or funnel owner rights).

Why Idea Funnels Are Important

Idea funnels help your organization collect, evaluate, and follow up on ideas in a consistent way. They:

  • Create structure and clarity, so everyone knows the current status of an idea.

  • Increase transparency and accountability, assigning clear ownership and decision rights.

  • Power data-driven reporting, enabling innovation KPIs and strategic alignment.

When well-configured, funnels speed up decision-making and ensure no valuable ideas are lost in the shuffle.

Different Types of Funnels You Can Create

There are several types of funnels you can set up, depending on your innovation process:

  • Stage-Gate Funnel: Ideal for structured decision-making. Ideas pass through defined gates where they are assessed, scored, and selected before moving forward.

  • Innovation Pipeline: A broader funnel that visualizes all ideas from intake to execution. Great for seeing volume, conversion, and progress across your innovation lifecycle.

  • Innovation Workflow Funnel: Designed for a more flexible, iterative process. Useful when teams want to enrich, refine, and collaborate on ideas before formal selection.

Each funnel type offers a unique view of progress and prioritization. You can tailor your funnel layout to match your organization's rhythm and governance needs.

Example: InnovationLands

In InnovationLand, a fictional theme park, a funnel called "New Attractions Funnel" has been set up to collect ideas for future park experiences. Employees submit ideas like new rollercoasters, interactive shows, or themed restaurants. Each idea is enriched with descriptions, images, target age groups, and estimated budgets. Then, the ideas are scored by the innovation board using a custom scorecard. Finally, top-scoring ideas are reviewed and the best ones are selected to move forward into a project funnel for implementation. This structured funnel helps InnovationLand make smart, data-driven decisions about which ideas will have the biggest impact on visitor experience and park revenue.

Funnel Edit Overview

When you edit a funnel, you’ll find several tabs—each with its own purpose and set of configuration options. Here's a quick summary of each tab and its main function:

Tab 1. Funnel Setup

Define the core identity of your funnel: name, owner, department, dashboard visibility, and notification settings. This tab is all about ownership, alignment, and visibility in reporting.

Tab 2. Lanes

Design the stages (or steps) that ideas move through. Lanes help visualize the workflow and allow you to assign responsibilities at each step.

Tab 3. Scorecard

Set up the scoring system used to evaluate ideas. Define scoring categories, criteria, and how different users contribute to evaluation.

Tab: 4. Graph Settings

Choose which scoring items populate the X and Y axes in the graph view. This helps plot ideas based on value vs. effort for prioritisation.

Tab: 5. Custom Fields

Add your own data fields to capture specific information like business unit, theme, or readiness level. These fields can be used for filtering and analysis.

Tab: 6. Access

Control who can submit, view, edit, or score ideas in this funnel. Define security and permissions for internal and external contributors.

In the following chapters, we’ll explain each tab in detail—what it does, how to configure it, and how InnovationLand (our example theme park) uses it to manage innovation effectively.

Tab: 1. Funnel Setup

Define the core identity of your funnel: name, owner, department, dashboard visibility, and notification settings. This tab is all about ownership, alignment, and visibility in reporting.

Purpose of the Funnel Setup Tab

The settings in this tab are foundational. They define the funnel’s visibility across your organization, ensure accountability by assigning ownership, and determine how results are reflected in dashboards and analytics. Configuring these elements correctly helps align the funnel with the right department and make sure it supports your reporting goals and follow-up process.

Configuration Options:

  • Title: The name of your funnel. Choose something recognizable, such as "AI Initiative Funnel" or "Sustainability Ideas."

  • Owner: This person is responsible for maintaining the funnel and tracking its progress. Only admins and assigned owners can edit the funnel.

  • Department: Select the department this funnel belongs to. This will be used in reporting filters and departmental dashboards.

  • Show in Dashboard: Toggle this on to include the funnel in company-wide innovation dashboards. Disabling it hides it from reporting, which is useful for test funnels or archives.

  • Connect to Project Funnel: Link this funnel to a project funnel. When an idea reaches a decision point (e.g. "Approved"), it can automatically transition into the linked project funnel.

  • Notify Idea Owner on Movement: Automatically inform the person who submitted the idea whenever it moves from one lane to another. This improves engagement and keeps contributors updated.

Each setting influences how your funnel is used and how stakeholders interact with it. Linking to a project funnel automates handovers. Department assignment ensures ideas are correctly attributed, and dashboards give leadership the right insights at a glance.

Example: InnovationLands

InnovationLand’s innovation team created a funnel titled “New Attractions Funnel.” The funnel owner is the innovation manager, and the funnel is linked to the “R&D” department so they can track department-specific activity. They enabled dashboard visibility so management can see funnel performance in KPI reports. When an idea reaches the “Approved” lane, it automatically moves to the “Project Execution Funnel,” streamlining the transition from idea to implementation. They also enabled notifications so the idea submitters are kept in the loop as their ideas progress.

Funnel Edit Tab 2 - Lanes

The Lanes tab allows you to define the stages that ideas pass through in your funnel. These stages (or columns in the Kanban view) represent the different phases of your innovation workflow—such as intake, review, selection, approval, or rejection. The lanes determine the visual structure of your funnel and create a shared language for how ideas progress.

Using lanes provides clarity and transparency. It helps teams know what to do next, who is responsible, and where an idea stands. Lanes also power reporting and ensure that ideas move through a consistent process.

How to Configure Lanes

Each lane can be configured using six tabs. Each tab contains specific elements that define the behavior and experience of that lane. Here's an overview of each configuration tab and its components:

Tab 1. General

In this tab, you define the core settings of a lane:

  • Title: The name of the lane that will be displayed in the funnel.

  • Owner: The person responsible for the content and follow-up of the ideas in this lane.

  • Type: Choose between Default (where ideas start), Decision (used for selection moments), or Archive (used to store closed ideas).

  • Color: Assign a color to the lane to improve the visual structure of the Kanban board.

  • Show in Graph: Choose whether the ideas in this lane are included in the graph and bubble views.

Tab 2. Details

This tab is used to provide additional guidance and internal context:

  • Description: A short explanation of what this lane is used for (visible only to admins).

  • Instructions for Users: A message shown to users when they open an idea in this lane. It helps users know what’s expected.

  • Expected Time in Lane: Specify the average expected duration an idea should stay in this lane. This helps monitor if ideas are delayed.

Tab 3. Automation

This tab allows you to pre-define certain idea values when an idea enters the lane:

  • Set Idea Owner: Automatically set or update the idea owner when entering this lane.

  • Set Deadline: Assign a deadline to the idea based on a fixed date or a number of days.

  • Set Status: Automatically assign a specific status to ideas in this lane (e.g., "Under Review").

Tab 4. Tasks

This tab allows you to define tasks that should be created when an idea enters this lane:

  • Automatic Tasks: Add one or more default tasks to ensure follow-up actions are not forgotten.

  • Task Templates: Use a predefined task template that fits the purpose of this lane.

Tab 5. Communication

This tab controls notifications related to this lane:

  • Send Email Notification: Automatically send an email to the idea owner or other involved users.

  • Custom Message: Define the content of the email, including instructions or updates.

Tab 6. Celebration

This tab allows you to celebrate successes:

  • Enable Celebration: Enable a visual celebration effect (such as animation).

  • Custom Message: Define a congratulatory message shown to the idea owner in the portal.

InnovationLands Example

In InnovationLand’s "New Attractions Funnel," the lanes are configured as follows:

  1. Submitted

    • General: Type set to Default, owned by the Innovation Manager, blue color, included in graph.

    • Details: Encouraging message for users to be creative.

    • Automation: Sets idea owner to innovation manager and status to "Submitted".

    • Tasks: A task is added to check if the idea submission is complete.

    • Communication: Sends a thank-you email to the idea owner.

    • Celebration: Not used.

  2. Under Review

    • General: Owned by the Review Committee, yellow color.

    • Details: Message that reviewers should enrich and score the idea.

    • Automation: Updates status to "In Review".

    • Tasks: Review tasks are added automatically.

    • Communication: Sends a reminder to reviewers.

    • Celebration: Not used.

  3. Selected for Testing

    • General: Type set to Decision, orange color.

    • Details: Explains that the idea is being tested for feasibility.

    • Automation: Sets deadline to 14 days from entry and updates status to "Testing".

    • Tasks: Feasibility and cost analysis tasks are created.

    • Communication: Notifies the owner that their idea is selected.

    • Celebration: Custom message: "Your idea made it to testing!"

  4. Approved

    • General: Type Decision, green color.

    • Details: Describes the next implementation phase.

    • Automation: Updates status to "Approved".

    • Tasks: Assigns planning and budgeting tasks.

    • Communication: Sends a final approval email.

    • Celebration: Enabled with message: "Congratulations! Your idea is approved."

  5. Archived

    • General: Type Archive, grey color, excluded from graph.

    • Details: Explains why ideas are archived and that they are not removed.

    • Other tabs: Not configured.

This setup ensures every idea is handled consistently with automated follow-up, clear expectations, and the right feedback at every step.

Funnel Edit Tab 3 – Scorecard

The Scorecard tab allows you to define how ideas will be evaluated within the funnel. It ensures a structured and consistent approach to scoring and comparison, helping decision-makers prioritize the most promising ideas. The scores also influence how ideas are displayed in the graph view (bubble chart), helping identify high-impact, low-investment opportunities.

A well-defined scorecard is essential for generating useful insights in dashboards and making decisions based on clear criteria.

How to Configure the Scorecard Tab

When editing a funnel, go to the Scorecard tab to manage the scoring setup.

Each funnel uses the company-wide score configuration. From this tab, you can control:

  • Which parent scores are active in this funnel

  • The order of these parent scores in the scoring interface

Only parent scores can be turned on or off per funnel. Child score items are defined at the company level and automatically follow the selected parent structure. The scoring system is therefore consistent across all funnels, while still allowing funnel-specific customization of which parents are used.

Example InnovationLands

In the "New Attractions Funnel" in InnovationLand, the following parent scores are activated:

  1. Innovation Sweet Spot

    • Includes: Feasibility, Viability, Desirability

  2. Business Impact

    • Includes: Revenue Potential, Visitor Excitement

  3. Investment

    • Includes: Time Investment, Cost Estimate

These three parent scores are shown in the funnel, and their position in the scorecard reflects the order set by the admin. All three are used in the graph view to compare ideas on value vs. investment, helping InnovationLand make well-informed decisions about which ideas to move forward with.

Funnel Edit Tab 4 – Graph Settings

The Graph Settings tab determines how ideas are visualized in the graph and bubble chart view. This view is a powerful decision-making tool that helps teams prioritize ideas based on their relative value and required investment.

By mapping scores to a 2D plane (and optionally a third dimension for bubble size), the graph enables quick identification of high-potential, low-effort ideas—or the reverse.

How to Configure the Graph Settings Tab

In this tab, you define which parent score items are used in the graph view:

  • X-Axis: Typically represents effort or investment (e.g., Investment).

  • Y-Axis: Typically represents value or impact (e.g., Business Impact).

  • Bubble Size (optional): Can be used to visualize a third metric, such as Innovation Sweet Spot or Opportunity Score.

Only parent score items can be selected for the graph axes. These parent scores must be enabled in the Scorecard tab to appear as an option here.

This setup ensures that visual prioritization is consistent with your scoring method.

Example InnovationLands

In InnovationLand’s "New Attractions Funnel," the graph settings are configured as follows:

  • X-Axis: Investment

  • Y-Axis: Business Impact

  • Bubble Size: Innovation Sweet Spot

This view allows the InnovationLand team to visually identify the most exciting ideas that require the least investment. It supports better and faster decision-making by showing which ideas have the best return on effort.

Funnel Edit Tab 5 – Custom Fields

The Custom Fields tab allows you to add additional structured information to ideas. These fields help capture important context that is not covered by standard fields. This data can be used for filtering, sorting, and reporting.

Custom fields make it easier to tailor the funnel to your organization’s strategy, goals, and terminology.

How to Configure the Custom Fields Tab

In this tab, you can:

  • Enable or disable existing custom fields that are part of the company-wide configuration

  • Adjust the order in which custom fields appear in the idea detail view within this funnel

Custom fields are created and managed in the global company settings. In the funnel, you decide which of those fields are relevant and visible for this specific process.

These fields can include:

  • Dropdowns (e.g., Strategic Theme, Business Unit)

  • Text fields (e.g., Internal Reference, Department Notes)

  • Numeric fields (e.g., Expected Revenue)

  • Date fields (e.g., Market Launch Target)

Example: InnovationLands

In the "New Attractions Funnel," InnovationLand has activated the following custom fields:

  • Target Age Group (Dropdown): Kids, Teens, Adults, All Ages

  • Theme Area (Dropdown): Fantasy Zone, Tech World, Water Land

  • Launch Year (Date): Expected go-live year for the attraction

These fields are used in reporting and help teams filter and group ideas by relevant strategy or theme. The order was arranged to guide users from general to specific when they open or edit an idea.

Funnel Edit Tab 6 – Access

The Access tab allows you to control who can access the funnel and interact with its content. This includes defining the visibility and permissions for both admins and users. By configuring access correctly, you ensure that sensitive innovation processes are properly secured, and the right users have access to the right funnels.

This is especially important when working with department-specific funnels or when involving different user groups with varying roles in the idea process.

How to Configure the Access Tab

The Access tab is divided into two main sections:

1. Admin Access

  • Choose between:

    • Open: All admins can access the funnel in the Innovation Studio

    • Private: Only selected admins have access in the Innovation Studio

2. User Access

  • Choose between:

    • Open: All users in the organization can see the ideas in the Innovation Portal.

    • Private: No user can see the items in the Innovation Portal

When either Admin or User Access is set to Private, you can define specific permissions below:

  • Users: Select individual users who are allowed access

  • Groups: Assign funnel access to predefined user groups

  • Departments: Grant access to users in specific departments

This structure allows you to keep company-wide funnels open to all while limiting sensitive or department-specific funnels to a closed audience.

Example: InnovationLands

In the "New Attractions Funnel" of InnovationLand:

  • Admin Access is set to Private. Only the Innovation Manager and R&D lead can manage the funnel.

  • User Access is set to Private. Access is granted to the R&D department and selected creative teams.

This ensures that only those involved in attraction development can submit, review, and manage ideas—keeping the process focused and secure.

Funnel Edit Tab 7 – Notifications

The Notifications tab allows you to configure which email messages are triggered when an idea enters a specific lane. These notifications help keep relevant users informed at key moments in the funnel. This setup improves follow-up and engagement by ensuring the right people are notified without manual messaging.

The communication is managed through Accept Mission’s Dynamic Mail Templates feature. These templates allow personalized, lane-specific emails to be sent to specific target groups based on predefined rules.

How to Configure the Notifications Tab

For each lane in the funnel, you can configure one or more notification triggers:

  • When an idea enters this lane, an email message will be sent.

  • You select a Dynamic Mail Template that defines the structure and content of the email.

  • Then, you choose a target group of recipients for that message.

Target groups can include:

  • The idea owner

  • Assigned reviewers

  • Admin users

  • Custom user groups

Only one mail template can be selected per lane entry trigger, but each message can be configured to include dynamic fields (e.g., idea title, link, status).

Example: InnovationLands

In InnovationLand’s "New Attractions Funnel":

  • When an idea enters the "Under Review" lane, a dynamic mail template titled "Review Required" is triggered and sent to the assigned review team.

  • When an idea moves to the "Approved" lane, another template titled "Idea Approved – Congratulations!" is sent to the idea owner with a summary of their submission and next steps.

This setup helps InnovationLand automate communication throughout the funnel and keeps contributors informed and motivated.

Funnel Edit Tab 8 – Celebration

The Celebration tab allows you to configure a visual celebration that is triggered when an idea enters a specific lane. It is designed to create motivation and recognition for contributors by celebrating progress within the funnel. This feature helps maintain momentum and reinforces engagement throughout the idea journey.

By setting up celebrations in key lanes—such as selection, approval, or implementation—you acknowledge participants and show appreciation for their contributions.

How to Configure the Celebration Tab

For each lane, you can enable a celebration animation:

  • Enable Celebration: Turn this setting on to trigger a visual celebration effect when an idea enters this lane.

  • Available Effects: Includes animations like fireworks, stars, or confetti.

There are no custom messages linked to this feature. The celebration is shown directly in the user interface and is visible to the idea owner when they access their idea.

Example from InnovationLand

In InnovationLand’s "New Attractions Funnel":

  • When an idea enters the "Selected for Testing" lane, a confetti animation is triggered.

  • When an idea enters the "Approved" lane, a fireworks animation is displayed.

These visual celebrations help InnovationLand encourage creative participation and reward users for contributing valuable ideas.
