Task Management introduction
Updated over 6 months ago

One of the key challenges of innovation projects is to keep track of all the activities needed to make sure the projects is kept on track and no task is left aside. How do you stay on top of the activities and progress within an innovation project and an innovation team? Make use of task management!

Task management is included in Innovation projects. Open a project and select the tab Tasks:

There are two views to work with tasks: List view and the Gantt

Task Management: List View

Here, you will see a smart list of all tasks for this project. All tasks are always grouped based on the 'Group by' selector. Here, you can group by:

  • Week - All tasks are grouped by weeks

  • Month - All tasks are grouped by months

  • Phases - All tasks grouped by Phases

  • Status - All tasks grouped by status

  • Owner - All tasks grouped by owner

Task Management: Gantt view

The Gant chart view presents all the tasks of the project in a beautiful interactive Gantt chart. You will see the tasks in this chart in an interesting time overview. See the hierarchy and progress, and hover over the tasks to see more information!

Add a new Task

You can add a new task using the button 'Add Task':

Fields to fill in:

  • Title - The title of the task (required to fill in

  • Phase—This is a free field to fill in or select already-filled-in values for other tasks in this project.

  • Owner - The person who is responsible for the task (when saved the owner will get a notification that a new task is assigned)

  • End date - the deadline of the task (on this date, the owner will receive a notification)

  • Duration - the time it will take to complete the Task

  • Status - Is the task not started for execution, in progress or completed?

  • Description - A clear description of the task

Live Edit Tasks directly in the Smart list

Tasks in the smart list can be directly updated. Everything is live and updated. For example, when you change the deadline, all items in the week/month group will be reorganized. This is also happening for all visible fields in the smart list. Try it out yourself.

Notifications

The following notifications are connected to tasks:

  • A notification is sent to the task owner at creation or when it is changed to let the (new) owner know he or she is assigned to the task.

  • A notification is sent to the owner of the task on the morning of the deadline of the task. To remind you that the deadline has arrived. OF course the notificsion is not sent when the task is already completed.
