Manage the access for Admin and Users

Overview

Managing funnel access in Accept Mission ensures that the right people have access to the correct idea and project funnels. There are two primary access settings:

  1. Funnel Admin Access: Determines which administrators can manage and access a funnel.

  2. Funnel User Access: Controls whether users can view and interact with ideas in the Innovation Portal.

Funnel Admin Access

In Edit Funnel Settings, admins can set the Funnel Admin Access to either Private or Open:

  • Private: Only selected admins can access and manage the funnel.

  • Open: All admins can access the funnel.

Important Notes:

  • Super Admins always have access to all funnels, regardless of settings.

  • Regular users cannot enter the Innovation Studio, where funnels are managed.

Funnel User Access

The Funnel User Access setting determines whether users can see and interact with ideas in the Innovation Portal:

  • Open: All users can view and engage with the ideas in the funnel.

  • Private: The ideas are hidden in the Innovation Portal, and only selected users can access them.

Funnel Access Scenarios

Scenario 1: Open Innovation Funnel

Use Case: You have an idea funnel for a company or department-wide idea collection.

  • Admin Access: Open (All admins can manage the funnel)

  • User Access: Open (All users can find and interact with ideas)

This setting encourages collaboration, engagement, and idea development across all users.

Scenario 2: Restricted Intellectual Property Funnel

Use Case: You want to collect ideas related to intellectual property and restrict access to a specific department.

  • Admin Access: Private (Only selected admins can manage the funnel)

  • User Access: Private (Only selected users can access ideas)

This ensures that sensitive ideas remain confidential and are accessible only to authorized personnel.

Scenario 3: Isolated External Partners or Departments

Use Case: You have different departments or external partners working in separate funnels without overlapping access.

  • Admin Access: Private (Only designated admins can manage the funnel)

  • User Access: Private (Only selected users can see the ideas)

Be sure to check settings in other funnels to prevent unintended access if they are set to Open.

Scenario 4: Department-Specific Funnels with Open Idea Sharing

Use Case: Each department has its own funnel, but all users can view and engage with the ideas in the Innovation Portal.

  • Admin Access: Private (Only department-specific admins can manage the funnel)

  • User Access: Open (All users can see the ideas)

This setup allows transparency and collaboration across departments while maintaining funnel management restrictions.

Campaign Missions and Funnel Access

If an Idea Funnel is linked to a Campaign Mission, the funnel access settings still apply. However:

  • Users with access to the Mission can see all ideas connected to it.

  • If the Mission is set to Offline, users lose access to those ideas automatically.

This allows temporary access to specific ideas during the mission's duration, maintaining security once the mission concludes.

Final Considerations

  • Ensure you carefully configure funnel access to match organizational requirements.

  • Regularly review funnel settings to maintain the correct level of security and accessibility.

  • For sensitive topics like Intellectual Property, restrict access to necessary personnel only.

  • Use Campaign Missions strategically to provide controlled access to ideas during specific projects.

By managing these settings effectively, Accept Mission users can optimize collaboration while safeguarding sensitive information.
