Idea Router

Automatically route ideas to the right funnel

Updated today

The Idea Router helps you keep your innovation process organised by automatically placing new ideas in the most relevant idea funnel. Every time a new idea arrives in a funnel, the system evaluates the content of the idea, compares it with the setup of your funnels, and decides which funnel is the best fit. This saves time, avoids manual sorting, and ensures that ideas always reach the right Power Users.

The entire process is powered by AI. The router analyses the idea description, compares it with your funnel definitions, calculates a confidence score per funnel, and routes the idea when confidence is strong enough.

This feature is configured per funnel and becomes available in the Funnel settings under the Idea Router tab.

How the Idea Router works

Whenever a new idea enters a funnel through any method, the router immediately evaluates the idea. This includes ideas that arrive from the Company Idea Box, ideas submitted through a Campaign, and ideas moved from one funnel to another.

The router looks at the content of the idea and compares it with every funnel that is part of the routing scope. It evaluates the funnel title, description, department, category, tags, topics, and the optional context fields. Based on this information the AI determines how well the idea matches each funnel and assigns a confidence score.

The funnel with the highest confidence score becomes the suggested destination. When the confidence is above the threshold, the idea is automatically moved. When the confidence is below the threshold, the fallback behaviour applies.

Routing also triggers all normal funnel notifications and any configured follow up automation such as task creation, communication, status updates, and change of owner.

Requirements for the best routing accuracy

The Idea Router can only perform well when your funnel definitions are clear and complete. Make sure that every idea funnel has:

  • A clear title
Mandatory and used heavily by AI.

  • A meaningful description
Strongly recommended because it gives the AI valuable context about the purpose of the funnel.

  • Department, categories, tags, and topics
Used to match ideas to the correct part of the organisation or theme.

  • Context fields
These fields describe the purpose, scope, and goals of a funnel. The more detail you provide, the better Accept Mission can support your end to end innovation process and the more accurate the router becomes.

Configuration overview

This section explains every setting available on the Idea Router tab.

Enable Idea Router

Turn the router on for this specific funnel. When enabled, every new idea in this funnel will be analysed and optionally moved to another funnel.

Routing scope

Choose which funnels the router should consider.

  • All funnels
The router will compare the idea with every funnel in the workspace.

  • Selected funnels
You can define a specific group of funnels that should participate in the routing decision.

Priority basis

This allows you to emphasise which elements of the funnels are more important for routing.

You can choose mixed mode or prioritise department, category, funnel, or tag or topics.

When a priority is selected the AI gives additional weight to that element in the matching process. All other elements remain part of the evaluation.

Threshold and fallback

Auto move threshold
This is the minimum confidence required for automatic routing.
Default is 70 percent and it is not recommended to go lower. A higher threshold ensures more reliable routing and prevents unintended moves.

Fallback action
When confidence is below the threshold, you decide what should happen.
The available options are:

  • Stay in the current funnel

  • Place in a specific funnel that you select

Behaviour explanation

If confidence is above the threshold the idea is auto moved.
If confidence is below the threshold the fallback action is used.
The system logs every routing decision including situations where the idea stays in the same funnel.

Recent routing decisions

This panel shows the router activity for this funnel.
You can see the idea name, the result, the confidence score, key signals that influenced the decision, and the time.

Power Users with access to the funnel can open the detailed view to see the Funnel Candidates list with confidence scores and key signals per funnel.

These logs help you verify accuracy and improve your funnel descriptions when needed.

Understanding confidence scores

The AI generates a confidence score by comparing idea content with the attributes of each eligible funnel.

Factors include relevance of text, department alignment, category fit, topics, tags, and your context fields. When you set a priority in the Priority basis, that element receives an additional boost.

Choose your threshold carefully.

  • A threshold that is too low increases the chance of incorrect routing.

  • A threshold around or above the default is generally recommended for most companies.

Notifications and follow up actions

When an idea is routed, all notification and automation settings of the receiving funnel are applied.
These include: Owner notifications, Communication templates, Task creation, Status changes, Other configured automations

The Idea Router does not change notification settings. It only triggers them through the normal funnel logic.

Innovationlands example

Innovationlands is a fictional theme park used throughout our demonstrations. The park uses the Innovation Portal to invite employees and visitors to submit ideas for new rides, technologies, guest experiences, marketing improvements, and more.

All incoming ideas arrive first in the General Idea Funnel. This funnel has the Idea Router turned on. The router evaluates each new idea based on the descriptions and context fields of all funnels in Innovationlands. Funnel examples include Team Attractions, New Technologies, Future of Innovationlands, and Team Marketing.

Here is a typical routing scenario.
A visitor submits an idea for a new interactive ride concept. The Idea Router reviews all funnel profiles. It recognises that the idea aligns with the theme park attraction strategy and assigns the highest confidence score to the Team Attractions funnel. Since the confidence is above the threshold the idea is automatically routed. The Team Attractions Power Users receive their usual funnel notifications and can start evaluating the idea immediately.

Another example is a new drone technology concept submitted by an employee. This idea scores highest in the New Technologies funnel and is moved automatically. If an idea does not meet the threshold, for example when information is unclear, the fallback applies and the idea stays in the General Idea Funnel for manual review.

With a well defined router setup Innovationlands keeps its innovation process clean and structured and every idea reaches the right team without manual sorting.

Best practices

Review your routing decisions regularly to validate accuracy.
Improve funnel descriptions and context fields when decisions do not match expectations.

Use clear naming for funnels to help your Power Users recognise their purpose.

Avoid choosing thresholds that are too low.
Keep departments, categories, and tags up to date.

Frequently asked questions

  • Does routing run more than once
No the router only runs when the idea enters the funnel.

  • Can I override routing manually
Yes you can always move an idea manually to any funnel.

  • Who can see routing logs
All admins with access to the funnel can view routing logs.

  • What happens if confidence is too low
The fallback behaviour applies. The idea either stays in the current funnel or is placed in the fallback funnel you selected.

  • Can I route to project funnels
No only idea funnels are supported.
